Administrative Officer

Purpose of Position

This pivotal role is multifaceted and incorporates a number of key operational functions, including:

Financial Adviser & Client SupportTo deliver exemplary service to clients, provide quality, proactive support to the Directors, Advisers and Wealth Support Team of Aureus Wealth Advisers Pty Ltd.

Research & Advice Implementation DeliveryThrough quality research, preparation of reports, the Administrative Assistant proactively participates in and oversees the delivery of services of our wealth coaching team and support staff. Their role is to ensure the Wealth Coaches are adequately informed to provide and implement appropriate advice to clients.

Responsibilities:

Financial Adviser & Client Support – The core responsibilities of this role include but are not limited to the following. The duties and responsibilities will vary according to the current needs of the business.

  • Liaise with clients and respond to their general queries
  • Ensure all client correspondence, contact ( email, text or phone calls ) and  documentation is recorded as per the advice implementation worksheet
  • Review upcoming tasks and action items for the week are followed up promptly and confirm clients have sent back documents
  • Support the Wealth Coaches and Wealth Support team to ensure the compliance of files
  • Prepare all documentation for presentation to the client, including but not limited to Statement of Advice, research documentation, application forms etc.
  • Collect product information from external product providers (3rd party research)
  • Preparation of Insurance Quotes as requested by Financial Planners for advice to be considered
  • Lodgment and follow up of new and existing client (Service) requests, e.g. Changes due to review, withdrawals, change of address etc
  • Filing/uploading documents to Xplan and client files
  • Preparation of new client files in line with Aureus Financial policy
  • Distribution of product updates for standalone products
  • Assist with the overflow of tasks from other Wealth Support roles during busy periods or as required
  • Maintain a “clean” task/ workflow follow up list
  • Ensure all follow-up work is completed in a timely manner and actions are documented in writing for record in the client file.
  • Maintain Compliance behaviours in line with business, licensee and regulatory objectives
  • Manage relationships with and expectations of Directors, Wealth and extended team of Aureus Financial 
  • Active completion of ongoing training to ensure up to date technical knowledge (where applicable)
  • Attendance and participation at team meetings and other team activities
  • Follow all workflow processes in line with practice workflow principles.
  • Proactively communicate with clients

Core Role Responsibility – Research & Advice Implementation Delivery

  • Liaise with Directors, Advisers, Administration & paraplanning team to ensure time frames are met and quality advice is delivered
  • Assist in the preparation of annual client reviews, including the preparation of client meeting packs via researching clients’ circumstances
  • Assist in the preparation of SoAs, RoAs and strategy papers
  • Manage implementation process of client advice and ensure Authority to Proceed is signed, including all other relevant documents.
  • Track Ongoing Fee Arrangements with clients making sure all dates are met in line with the regulatory guide and follow up documents to be returned by clients in a timely manner
  • Work with product providers to follow up the implementation of insurance applications, superannuation rollovers and investments being pended before the final checkpoint

Required Skills & Qualifications

  • Tertiary qualifications and/or experience in Financial Planning, Accounting or a similar discipline
  • Ability to quickly develop knowledge of the features and functionality of computer software and other business systems
  • Excellent written and oral communication skills
  • High client service orientation
  • Sound numeracy and problem-solving abilities
  • Determination to deliver on personal goals and objectives
  • Ability to work collaboratively in a professional team
  • Self-motivated and committed to personal and professional development
